Meeting Minutes

3/24/15

**It was a short meeting, but keep in mind and mark on your calendars the important dates coming up!**

 

·         Attendance

o   Chloe Kay

o   Melissa Gould

o   Hannah Smith

o   Haley Evenden

o   Stephanie Szakos

o   Brianna Streeter

o   Amy Burgunder

 

**NEW MEETING TIME TUESDAY NIGHTS AT 9:30 PM Tuttle N**

·         Safety

Current Safety Officers are

o   Chloe Kay

o   Amy Burgunder

o   Brianna Streeter

o   Ellie Astrue

**We need to make sure we always have at LEAST four safety officers, therefore, certification is strongly encouraged**

 

·         Lesson Schedules: Registration is approaching quickly!!

 

o   We are trying to avoid having early practices for next year so once you register send me (Brianna) your schedules so Jolene and I can figure out good times for riding!

o   Email: bstre3@u.brockport.edu

 

·         MyBrockport Awards: Banquet is Friday, May 1st at 6pm in the Eagle’s Lookout Room. Each team should send 3 representatives.

o   Spirit Award

o   Club Sports Leader of the Year

o   Rookie of the Year

o   Club Sports Athlete of the Year

o   Club Sports Member of the Year

**Due by April 1st. Each Team should try to nominate at least one person for every category**

·         Important Upcoming Dates:

March 30th: Nutrena Tags are due

o   Has been approved by Campus Rec as Community Service

o   Collect feed tags: proceeds go to Begin Again Horse Rescue

April 4th:

o   Horse handling for IEA show

o   This is the Saturday before Easter: we realize many of you who aren’t in the area may be going home

o   PLEASE let Jolene know ASAP if you would like to commit to doing this!

April 11th:

o   Walk to prevent suicide, Campus Involvement!

April 17th:

o   Relay for Life

o   Sign up for team! Feel free to ask for donations!

o   Some showed interest in doing a booth at the event to raise money?

o   Possible face painting

April 18th:

o   FUN DAY at Jolene’s 12 PM

o   Clean up stalls/barn/groom horses

o   Can count as community service!!

April 26th:

o   Volunteering at Fingerlakes

o   Also community service!

May 1st:

o   Club Sports Banquet

May 2nd:

o   We are thinking of implementing an Alumni/Senior Class!

o   NEED STUFF FOR OUR RAFFLE

·         Go around to businesses and ask for donations! We have done a variety of items with great success! (Horse stuff, gift cards, books, etc.)

·         Also discussed doing a consignment sale?

May 6th:

 

o   Blood Drive

o   Community Service: Organizing your own event or going OFF-CAMPUS to volunteer (i.e. Lollypop, Food Shelf, Soup Kitchen).

§  Kid’s Night Out will count because Ben advertised it as Community Service.

§  Set-up for an event will count (i.e. helping set up the area where Relay for Life will be held.

o   College Involvement:

§  Participating in an Event

§  Showing Support to a Group (i.e. Glow Run, unless you’re Tennis and have helped organize the event)

§  On-Campus

·         Budget Presentations: *DATES HAVE BEEN CHANGED*

o   Our budget presentation has been scheduled for April 20th at 4:15 pm. If this needs to be changed, contact Ben immediately. Other options are April 6th, 13th and 27th (all Mondays).
The following should be included in Budget Presentations:

§  Current Budget

§  What we were given at the start of the year and what we’ve spent

§  Previous, Annual and Future Community Service and Fundraising Activities (BRAG!)

§  Amount of $ spent on apparel, travel, IHSA registration fees, competition entry fees, etc.

§  Better to overbudget than underbudget (ask for more than our minimum)

The College gave Club Sports a $10,000 budget increase!

 

·         Huntseat Regionals

o   Haley Evenden is competing!!

o   Saturday, March 28th at Alfred University

o   Support is encouraged; whoever is interested in going should let Jolene know as soon as you decide so we can figure out driving situations

o   The Equestrian Scholarship Invitational Horse Show. Newburgh, NY

o   Let Jolene know if you are truly interested and will be committed to going to this ASAP

o   Possibly spending the night at Ellie’s or Amy’s instead of paying for a hotel
